Unijobs are assisting the University of Limerick with advertising, searching and shortlisting suitable candidates for the permanent post of Head of Academic Registry Operations. Job Purpose. The operations Function. A recent review of the Academic Registry's organisation structure has recommended the integration of a number of core operational functions into one central Operational Unit to improve responsiveness, efficiency and flexibility. This unit will be responsible for the following four core activities that constitute the student lifecycle: Under-graduate applications and admissions (for EU fulltime. Student Records. Scheduling. Programme Management. Consequently, it is a core unit in the Academic Registry and it is directly concerned with meeting the needs of students and staff. In terms of the number of staff, it is the largest unit in the Registry and it will be structured around the four core activities in the student lifecycle. The Head of Academic Registry Operations is primarily responsible within the Academic Registry for all the activities of this function. This is a key role in the Registry given the importance of the function in supporting the student lifecycle. The Head of Academic Registry Operations is a key member of the senior management team and as such will be required to support the development of the Academic Registry. The role requires an individual who has a thorough working knowledge and proven experience in a similar operational role preferably in a comparable third level institution. The individual must have strong operations and management skills with a clear commitment to ensuring a consistently high-quality service is delivered to key stakeholders, in particular students and staff. Given the cyclical nature of the work and the consequent demands this makes in specific areas at different times of the year, it is critical that there is flexibility in the deployment of staff to meet these demands. Therefore, this role requires an individual who can motivate and manage staff to respond in a flexible manner in this demanding, delivery focused environment. Required Skills, Experience & Qualifications. Managing large scale/ high volume operations functions, within a regulated business environment. Management experience of large scale/ high volume operations functions within a third-level educational environment would be highly desirable. Level 8 Honours degree. Level 9 / post degree qualifications in management, lean thinking, resource management, project management would be desirable. Managing and motivating staff in a demanding delivery focused environment. Person appointed must have five years management experience operating in a regulated environment dealing with multiple stakeholders enabled by IT systems. Experience of operating in business environment undergoing significant business process improvement changes. Engaging with and forming good working relationships with service users and being responsive to their needs. Thinking strategically and responding innovatively to challenges arising from new business requirements and strategies. Capability to deliver on agreed targets and KPIs while working within resourcing and financial constraints. Excellent written and verbal communication skills including the ability to communicate complex information clearly, concisely and persuasively. Expertise in managing diverse and multiple stakeholders with an understanding of how to achieve results in complex academic and administrative environments. Strong commitment to continuous improvement and a capacity to initiate and manage the changes that these require. Key Accountabilities. Managing the daily operations of the Academic Registry; Ensuring that all deadlines for each of the specific activities (e.g. admissions, examinations, graduations, etc.) are met in a timely manner; Delivering a consistently high quality of service to students, staff and other stakeholders; Monitoring and managing the performance of the Operations function based on agreed targets and KPIs, and initiating any required corrective action when an issue that affects performance arises; Engaging on an ongoing basis with key service users including applicants, students, staff, aca-demic departments and faculties and support divisions; Addressing in an efficient and effective manner any operational service delivery issues that may arise; Managing staff on a day to day basis including the reassignment of staff in response to the changing demands of the student lifecycle; Communicating in an open and transparent manner with staff so that they are fully informed and aware of all developments and issues relating to the Academic Registry; Monitoring and managing staff performance in a proactive manner; Ensuring that all staff are properly trained and have the tools required to undertake any role to which they are assigned; Working collaboratively with the other Heads of Function within the Academic Registry to ensure that the Academic Registry operates effectively; Supporting the Associate Vice President Academic Services & Deputy Registrar. Salary for the post is €56,443 to €89,838, this is a multiannual appointment. Only relevant public sector experience can effect the point of the scale on which the successful candidate is placed.
