Description

The Carambola Ltd has an exciting role for a Receptionist /Field Support Administrator. This position is a full-time position based in our Head office in Annacotty Industrial Estate, Limerick. The position will report directly to the Customer Care Admin Manager & the Operations & HR Manager. The purpose of the role is to ensure the reception area is maintained to a high standard and your diary is managed effectively. To effectively communicate information/requests between the field and operations, to ensure excellent customer service to client. Key Accountabilities: • Responsible for the smooth & effective running of the Reception/office area on a daily basis. • Responsible for ensuring reception/Office area is kept clean and tidy at all times. • Responsible for dealing with telephone queries & taking messages in a prompt & professional manner. • Making Request Logs. • Accurate and detailed recording of messages. • Responsible for fulfilling requests from clients / schools. • Data Entry – from school/parent contact. • Liaising with Local Support Managers, CS Manager & Sales Manager. • Completing and issuing exceptional orders to Production based on instruction from LCM’s. • Liaising with Production Supervisors. • Ensuring a high quality of customer service is provided and maintained at all times. • Ensuring agreed communication channels are used. • Ensuring any issues, problems and needs are immediately reported to your immediate superior. • CRM system use. • Responsible for providing weekly dashboards to Senior Management Team. • Assisting Field Agents & Customer Service Assistants with any projects/exhibitions. • Events/occasions planning. Requirements: • Excellent Diary Management and Time Management Skills. • Strong Communication Skills and the ability to communicate with all levels of the organisation. • Minimum three years experience in a Receptionist/Administrator role. • Excellent writing skills, • Keen eye for details. • Diploma/ Degree Administration. • Must be team player and highly self-driven. • Excellent interpersonal and communication skills. • Poses the highest degree of confidentiality and integrity in all aspect of the role. • Responsive and flexible approach to work, with a can-do attitude to requests and tasks. • The ability to work under tight deadlines and high pressure and complete tasks in a timely manner. • Ability to communicate all information in an open and courteous manner. • High level of IT proficiency and working knowledge of the following packages: email, internet, MS Word, Excel, Power Point. • Fluent in English, written and verbal. • Polish, written and verbal would be an advantage.
