Unijobs DAC are recruiting for a part-time Administrator on a temporary basis, within the Sports Recreation and Facilities office, LIT. This role anticipated to be 6 months in duration with the possibility of extension for the right candidate. About you. You will organise the daily administrative tasks in a busy office environment and act as a support the office Manager. You will be positive and friendly and work to promote the company image. You will have excellent interpersonal skills and have experience dealing with customers in a professional manner. You will act as the first point of contact for visitors and customers in person, online, and via telephone. Duties of the role: Process Bi-weekly payroll to include part-time casual payments and mileage expenses incurred, filing and maintaining payroll files and back up documentation. Manage daily cash control and cash collection for facilities, and monitoring of daily financial log to ensure all are signed off appropriately and reconciling any differences that may occur. Weekly cash lodgements for all facilities and weekly reconciling cash against schedule, and lodgement breakdowns. Bookings for all company facilities. Schedules and communicating with staff re: requirements for bookings and timelines. Creating and updating rosters for staff to correspond to booking requirements throughout each of the different facilities, sourcing staff when ad hoc bookings occur at short notice. Setting up and maintaining processes for cash control, invoicing, maintenance of facilities and ensuring facilities are kept to a high standard of cleanliness. Supply of stationary, equipment for pitches and grounds, supplies for all facilities and obtaining purchase orders from finance department. Ensuring completion of accident reports by employees when an accident occurs and liaising with Health and Safety. Accounts: Inputting and Processing Invoices, Purchase Orders, Supplier Payments, Bank Reconciliation, Setting Up New Customers / Suppliers, Payroll etc. through Sage. Maintains accurate records for employee holiday requests. May take care of website functions and social media profiles. Essential Requirements. Experience using Sage Accounting system. Previous experience in a payroll/account assistant role. Experience in generating and issuing invoices, processing payments and liaising with clients in matters related to accounts. Exceptional communication and customer service skills. High proficiency in the use Microsoft Office. Excellent attention to detail and organizational skills. Ability to take initiative, multitask and work in a busy environment. Excellent administrative, time management and organizational skills.
